In Clinical Mind AI, collaborating institutions can request structured data reports for internal analysis, quality improvement, or research purposes. These reports provide direct access to data generated within the platform. Access to downloadable databases is restricted to institutional administrators designated by their organization; instructors, students, and other users do not have direct download permissions. To obtain a report, the institutional administrator of the corresponding institution must submit a data request from their administrative account. Once requested, the report is queued for secure processing. When processing is complete, the system automatically sends an email to the requester containing the report, along with a description of the filters applied. The data itself is provided as a CSV attachment for ease of use in statistical or analytical software.

Use of student data for research requires prior approval from an Institutional Review Board (IRB) or Ethics Committee, as applicable. Institutions are responsible for ensuring appropriate approvals and data-use agreements are in place before requesting or analyzing reports for research purposes.

There are several types of data reports available within Clinical Mind AI. Each report captures a specific level of activity (e.g., courses, instructors, patients, or interactions) and includes a defined set of variables. The databases may be provided in either long or wide format, and information about a given entity can appear across multiple databases. We recommend exploring the descriptions of each database first to understand their structure, format, and included variables. For research or institutional analysis, multiple databases can be downloaded and joined depending on the project’s goals and analytic needs.
